Built by a doctor · for medical offices

Your front desk, never on hold.

Voicedoc answers every call to your practice on the first ring — no hold music, no phone tree. It handles scheduling requests, refill asks, and messages for the clinical team, verifies the name and callback before it hangs up, and drops a structured summary in your staff queue within ten seconds. Your receptionist gets to look after the patient standing in front of them.

Answering the phones at practices across California

I’m a vascular neurologist, and I watched my own front desk lose the morning to the phone — patients on hold, a stack of callbacks nobody had time for, and staff apologizing instead of caring for the people in the waiting room. So I built an agent that picks up on the first ring, every ring.

A growing family of agents

One practice line. Three ways to answer it.

Most calls to a medical office are routine — a reschedule, a refill, a question for the nurse. Voicedoc is a family of purpose-built agents that take those off your front desk, and hand your staff the ones that genuinely need a person.

Front desk receptionist

Clinic hours, every line, first ring. Greets the patient, finds out what they need, and captures a complete request — while your staff looks after the waiting room.

  • Scheduling, reschedule, and cancellation requests
  • Patient name, date of birth, and callback verified
  • Refill and billing questions routed to the right desk
  • No hold queue, no phone tree, no voicemail

After-hours receptionist

The same front desk, after close. Triages the call and transfers live to the on-call provider when it needs a human — without the script reader or the answering-service bill.

  • Triage rules per provider, per condition
  • Live transfer to the on-call doctor when needed
  • Pages on-call only when it should
  • Cuts answering-service cost by 70–90%

Personal voicemail assistant

For the provider’s direct line. Knows the difference between a hospital consult and your sister calling about dinner — and gets you the message either way.

  • Caller name + 10-digit callback verified
  • Patient, MRN, and hospital captured on consults
  • Tells a consult from a personal message
  • Notification in your pocket in under 10 seconds

Front desk intake · how it works

Voicedoc knows what your staff will ask.

Built around how a medical office actually runs its phones. Voicedoc runs a structured intake and won’t end the call until it has the fields your staff would otherwise have to call back for.

Reason
Travel conflict
Patient asks to move her Thursday follow-up — she will be out of town. Prefers a morning slot the following week with the same provider. No new symptoms and no clinical question raised. Scheduling to call back and confirm.
01

It asks the right questions, in the right order

The intake template is configured per practice and per request type. A reschedule needs name, date of birth, callback, provider, and preferred times; a refill needs the medication and pharmacy. Voicedoc doesn’t end the call until the required fields are filled.

02

It re-asks until it’s sure

Names get spelled back. Dates of birth are confirmed. Callback numbers are read back digit-by-digit and validated as a full 10-digit US number — anything off and Voicedoc asks again. Politely, but it asks.

03

It lands in a work queue, not a voicemail box

Every call arrives as a structured request in your staff queue within 10 seconds of hang-up — with SMS, email, or pager notification for the urgent ones. Nobody spends the lunch hour replaying messages to find out who called.

04

It doesn’t pretend to be a clinician

Voicedoc never gives medical advice, never reads back labs or chart notes, and never confirms a booking it isn’t authorized to make. It captures, it routes, it escalates — and anything that sounds like an emergency gets sent to 911 and flagged to your team.

Practices on Voicedoc

Real practices. Real phone lines.

Our answering service was costing us about thirty-five hundred dollars a year and still missing the consults that mattered. Voicedoc replaced it on day one. We haven’t gone back.

For stroke consults, every minute matters. Voicedoc captures the patient name, the MRN, the hospital — without me having to call back to fish for them. Really streamlines my workflow.

vs the alternative

A hold queue, an answering service, and Voicedoc walk into a clinic.

The honest comparison. We’re not for every practice — we’re for the ones whose front desk is drowning in the phone while patients wait at the counter.

FAQ

Questions, answered honestly.

Is this a real human or an AI?
It’s an AI voice agent. Voicedoc identifies itself as such on every call. We don’t pretend. Patients know they’re talking to software, and they almost universally prefer it to six minutes of hold music.
Does this replace my front desk staff?
No — it takes the phone off their desk. Your receptionist still greets the people at the counter, works the schedule, and handles anything that needs judgment. Voicedoc absorbs the routine calls that keep interrupting them, and hands over anything it shouldn’t be deciding. Practices use it to stop hiring for the phone, not to cut the staff they have.
Is it HIPAA-compliant?
Yes. Voicedoc runs on HIPAA-eligible infrastructure with a signed Business Associate Agreement, end-to-end encryption, and a complete audit log of every call. We do not sell, share, or train on your call data.
What if it gets the patient name wrong?
Voicedoc spells back every name and reads back the date of birth and callback number digit-by-digit before ending the call. If a caller is unclear, the agent re-asks. The structured summary always includes the original audio so your staff can verify any field in seconds.
Can it replace my answering service entirely?
For most specialty and primary-care practices, yes — that’s included in the Front Desk Receptionist tier, which covers evenings and weekends as well as clinic hours. Dr. Masood’s nephrology practice replaced theirs end-to-end on day one. Some practices keep a human service for overflow; Voicedoc handles that split gracefully too.
Can it book the appointment in my scheduling system?
Not yet — and we’re upfront about it. Today Voicedoc captures the scheduling request as a structured item your staff can action in seconds: patient, date of birth, callback, provider, current slot, preferred times. It never tells the patient a time is confirmed. Writing directly into your EHR or practice-management system is on our roadmap — tell us which one you’re on and we’ll move it up the list.
What does setup look like?
Voicemail Assistant: 10 minutes. Forward the line, pick a specialty template, you’re done. Front Desk Receptionist: 1–2 hours with our onboarding team to map your providers, request types, triage rules, and on-call schedule. Both tiers go live the day you sign up — most practices start Voicedoc on overflow only, then move it to the main line once they’ve listened to a week of calls.
What’s included in the free trial?
14 days of full Voicemail Assistant access with up to 50 calls. No credit card required, no auto-conversion. If it doesn’t earn its place, you walk away.
